Enable and Use Audit Assistant

The Audit Assistant helps you answer questions—for example, during an audit—by drawing on your controlled documents in the LDB. It automatically searches your approved documents and provides precise answers with direct references to the relevant sources—without the need for time-consuming manual searches.

The Audit Assistant can be found under: Navigation bar → QM → Audit Assistant

The Audit Assistant is part of the AI module of the LDB.

To use the Audit Assistant, you need:

  • The Document Control access right.
  • Activated AI integration in the system configurations (see Enable/disable AI integration)
  • Active license for using the AI functions.

Features

  • Automatic document search: Answers auditor questions specifically based on your lab's controlled documents.
  • Source references: Every answer includes direct links to the source documents and sections, so answers can be verified immediately.
  • No fabricated answers: If a question cannot be answered based on the available documents, the system explicitly indicates this.
  • RAG technology: The Audit Assistant uses Retrieval Augmented Generation (RAG) to generate answers exclusively from the provided internal documents.
  • Automatic index updates: Whenever documents in Document Control are updated, the index updates automatically.

Activating the Audit Assistant and Creating the Index

Activate the Audit Assistant in the system settings under:

Navigation bar → Settings (gear icon) → System Configurations → AI Integration

In the Document Control section, select the AI model from the Audit Assistant AI Indexing Model dropdown.

  • Then open the Audit Assistant under Navigation bar → QM → Audit Assistant
  • Click Generate Index to create the initial search index from your controlled documents.

Depending on the number of documents in Document Control, index creation may take anywhere from a few minutes to several hours. The index is subsequently updated automatically with every document change.

The index generation sessions can be found in the overview of all AI sessions — one session per indexed document — where you can also view the token consumption.


Using the Audit Assistant

The Audit Assistant can be found under: Navigation bar → QM → Audit Assistant

Asking a Question

  1. Enter your question about the document repository in the input field.
  2. Click the Send button (paper plane icon).
  3. The Audit Assistant searches your controlled documents and generates an answer.

Reviewing the Answer and Source References

The answer contains:

  • A summarized answer based on the documents found relevant to your question
  • Linked source documents from which the answer was derived — click directly on the link to open the corresponding document in Document Control

This allows you to verify the answer together with the auditor using the original documents.

Missing Information

If the question cannot be answered based on the available documents, the system explicitly indicates that no relevant information was found. In this case, you can consider whether a corresponding document should be created or supplemented.

The Audit Assistant does not generate independent answers from general AI knowledge. All answers are derived exclusively from your internal, controlled documents in the LDB.


Notes on the Document Basis

  • The Audit Assistant only accesses released documents in Document Control, not other files stored in the LDB.
  • The more completely your Document Control is maintained, the more precise the Audit Assistant's answers will be.
  • If a question cannot be answered, this indicates that the relevant topic is not yet covered in Document Control.
