Templates for orders, customers, materials, and other data types

Templates can be created not only for samples, but for all supported data types. For recurring use cases, you can create custom templates with the appropriate, individually configured attributes.

Navigation

Open the template management via:
Navigation bar → Settings → Templates

Templates for All Supported Data Types

Templates can be created not only for samples, but for all supported data types. The process is essentially the same as creating a sample template – the available fields vary depending on the data type and configuration.
Use the tabs above the list to select the data type.

The following data types are currently available (configuration-dependent):
Samples, Examination packages, Orders, Contacts, Recipes, Specifications, Asset, Subasset, Local inspection, 8D report, Materials, Batches, Equipment

  • Select the desired data type by clicking the corresponding tab.
  • The currently active tab is highlighted in blue.
  • Click + Create Template to create a new template.
  • Click the name of the template (highlighted in blue) to edit it.

Note: Different templates are optional. They are particularly recommended when recurring types each require their own attributes or default entries.

Order Templates

Order templates allow frequently used order types to be saved with predefined attributes and default entries.

The list of order templates shows for each template:

  • the name of the template (e.g. Inspection Order - Routine Check, Inspection Order - Special Check, Legionella Testing)
  • the selected attributes, i.e. the configured fields of the template (e.g. Contact person, Type or Sampler, Sampling date)
  • the current status of the template (e.g. released)

Template Selection When Adding an Order

Released order templates appear directly in the navigation menu under Orders, enabling quick creation of a new order based on a specific template – so that only the fields relevant to that order type are displayed.

  • When a template is selected, the Add Order form opens with the general fields (e.g. Description, Tags, Contact, Date) as well as the template-specific section with the configured attributes (e.g. Contact person, Type) and default entries (e.g. 1 or 2).
  • Different templates can have different default entries for the same attribute.
  • The link Show all fields can be used to display additional fields that are not preselected.
  • Edit Template navigates directly to the configuration of the template in use.

Customer Templates

Customer templates allow frequently used customer types to be saved with predefined attributes and default entries.

Figure: Manage Customers templates

The list of customer templates shows for each template:

  • the name of the template (e.g. Water supplier, Public Health Department, Supplier, Facility Management)
  • the selected attributes, i.e. the configured fields of the template
  • the current status of the template (e.g. released)

Comparing the templates illustrates how significantly the scope of attributes can differ depending on the customer type: while the Supplier template contains only the fields Customer no., Tax rate, Discount, and VAT ID, the Water supplier and Public Health Department templates include a considerably larger number of fields – such as economic proximity, Inspection client, or Confidentiality agreement.

Category Assignment

Customer templates can be assigned to a Category. For example, the Supplier template is assigned to the Supplier category, which influences how the customer is classified in the system.

Template Selection When Creating a Customer

Released customer templates appear directly in the navigation menu under Contacts and enable quick creation of a new customer based on a specific template – displaying only the fields relevant to that customer type.

Materials Templates – QM Module

Materials templates allow frequently used material types to be saved with predefined attributes and default entries.

Hierarchical Structure

Templates can optionally be organized into parent categories and child templates. This allows related types to be grouped together in a clear and structured way.
A well-thought-out structure simplifies day-to-day work.
The Materials template management provides an example of such a structure:

Figure: Manage Materials templates

  • Parent templates (e.g. Raw materials/Chemicals, Reference materials/Standards, Biological materials) serve as groupings.
  • Child templates (e.g. Raw material, Chemical, Solvent) are assigned to their respective parent template and define the relevant, configured attributes for that material type. For example, the Raw material template is assigned to the Raw materials/Chemicals category and includes fields such as CAS number, Storage class, and GHS labelling. The Microorganism template, on the other hand, is assigned to the Biological materials category and contains specific fields such as Strain designation, Biosafety level, and Storage temperature.

Template Selection When Creating a Material

The hierarchical structure is also reflected when creating a new record. The parent template is selected first, followed by the appropriate child template.
