For quality control, batch samples enable the verification and documentation of material properties and make the batch release process transparent and traceable. The sample used to test the batch is directly linked to the batch. Likewise, the tested batch is directly documented in the sample. Batch samples are suitable for both externally manufactured materials and in-house material production and testing.
Deviations between different batches of the same material can be quickly identified and analysed. In addition, batch samples allow the quality of different suppliers to be compared, which makes supplier evaluation objective and traceable and aids decision-making.
Batches and batch samples are part of the materials management.
You can find materials management under: Navigation bar → QM → Materials.
You can find the batches in the respective material detail view.
If the batch samples are not activated in your configuration and you would like to use it, please contact your customer support.
General description
1. Define the sample template for the batch sample
- This step is only necessary if you have not yet assigned a sample template for the batch samples.
- To assign a sample template for creating batch samples, click on the orange Edit button in the right-hand section of the detail view of the relevant material.
- Scroll to the Sample template field and select the sample template you want to use to create the batch samples for this material, then save the settings.

2. Create batch sample
- In the batch overview of the material detail view, navigate to the batch for which you want to create a batch sample.
- Click on + Add batch sample. You will find this button in the first column of the batch overview table below the batch number in grey font.
- Enter the relevant information about the sample in the following window. If necessary, select the required parameters if these are not suggested by the configuration of the sample template.

Instructions for release testing of culture media by using a reference strain.
This example describes how you can use batch samples to perform and document release testing of culture media using reference strains.
1. Ordering and creating the reference strain
Ordering the certified reference organism
- The certified reference organism is ordered from the relevant supplier.
Creating material
- The reference strain is created as material in the Labordatenbank and the relevant data are recorded.
Creating batch
- The reference organism is delivered with a certificate and a unique number. A batch is created for the delivered reference organism.
- The certificate for the reference organism is uploaded with the batch.
2. Release of the reference strain
Change release status
- Once it has been successfully created and documented, the reference organism is released for testing of culture media.

3. Ordering and creating the culture medium
Ordering a culture medium
- A culture medium is ordered. (From an external supplier or from in-house production.)
Creating material
- The culture medium is created as material in the Labordatenbank and the relevant data are entered.
Important: Select the prepared sample template for the initial test in the material.
Create batch
- The batch of ordered culture medium is delivered. A batch is created in the Labordatenbank for the delivered batch of culture medium. (Same procedure for in-house production).
4. Preparation of the batch sample for testing the culture medium
If not already available from previous tests.

- Prepare order
Depending on your requirements, you can define the parameters, limit value tables and sample templates for batch samples in a more general way so that they can be used repeatedly for different applications. If necessary, you can make very specific settings that may only be suitable for one particular application.
Create batch sample
- The batch sample is created from the batch of medium to be tested in the prepared order with the relevant parameters and the appropriate specification.
- The sample is now created and linked to the culture medium batch to be tested.
5. Sample processing and testing
Reference strain selection
- The reference microorganism can be selected in the parameter column for reference strain selection.
Tip: With the parameter data type materialtype=x, an entire material category can be stored in order to then select an approved test microorganism from it.
Measurement value recording
- The measurement values are entered or imported.
- The specification automatically shows whether the target result has been achieved.
