Evaluation criteria for suppliers

Structure of the Criteria Table

The table is divided into three main columns:

Criterion Column: This lists the various evaluation categories. In the example, you can see three main criteria:

  • On-time Delivery - for evaluating adherence to agreed delivery dates
  • Quality - for assessing delivered goods or services
  • Quantity Accuracy - for evaluating correct delivery quantities according to the order

Explanation Column: This column provides a detailed description for each criterion. It clearly defines what is to be understood by the respective evaluation aspect. This ensures uniform evaluation standards and helps all employees apply the criteria consistently.

Rating Column: This displays the color-coded rating system. Each criterion can be rated with letters from A to E, where each letter corresponds to a specific performance level and color:

The Rating System in Detail

On-time Delivery Ratings:

  • A (Green): Deadline met - best rating for punctual deliveries
  • B (Yellow): 3 days late - acceptable delay with minor impact
  • C (Orange): 10 days late - significant delay that can affect workflows

Quality Ratings:

  • A (Green): Delivery impeccable - highest quality level without complaints
  • B (Green): Delivery acceptable, but dispersion too large - generally acceptable, but with potential for improvement
  • C (Yellow): Delivery acceptable, but minor deviations - still acceptable, but already noticeable
  • D (Orange): Delivery not acceptable, sorting/rework required - unacceptable quality that causes additional work
  • E (Red): Delivery not acceptable, return/scrap - unacceptable quality leading to rejection of delivery

Quantity Accuracy Ratings:

  • A (Green): 0% deviation - exact delivery of the ordered quantity
  • B (Green): 2% deviation - minimal, still acceptable quantity deviation
  • C (Yellow): 5% deviation - significant, but still tolerable deviation
  • D (Orange): 10% deviation - considerable quantity deviation that can cause problems
  • E (Red): >10% deviation - unacceptable quantity deviation

Functionality and Application

These evaluation criteria form the basis for systematic supplier management. Through uniform evaluation standards, you can:

  • Conduct objective and comparable supplier evaluations
  • Identify weaknesses in the supply chain
  • Make data-driven decisions for supplier selection
  • Initiate continuous improvements in the procurement process

The color-coded system with traffic light logic (Green = good, Yellow = acceptable, Orange/Red = problematic) enables a quick visual assessment of supplier performance and supports efficient decision-making processes in daily work.
