SHAPTH - Drinking water database report transmission

These instructions are intended for key users of laboratory databases in drinking water laboratories. They describe the minimum information that must be available in order to correctly transmit test reports to SHAPTH, the interface harmonisation and exchange platform for drinking water hygiene.

First step: How to access your SHAPTH environment

Go to the SHAPTH homepage (https://shapth.info/) and select “Start now” in the main menu bar.

Follow the guidelines that apply to you. As a laboratory, click on the “Laboratory” button and then on “Use via LIMS”.

The guide contains detailed instructions on how to proceed in order to gain access to your SHAPTH environment.

Step two: Getting to know the SHAPTH environment

You can create test reports manually in your SHAPTH environment. We recommend that you log in to your SHAPTH environment in advance and try out the report creation process for yourself. This will give you a feel for the information that will be required to be submitted to SHAPTH in future. For assistance, there are training videos on the SHAPTH.info interface that deal with the creation of test reports, among other things.

Prerequisites (minimum requirements)

These instructions apply under the following assumptions:

  • The sample takers are natural persons (not companies or similar)
  • The laboratory itself is the testing centre (no external laboratories)
  • Only complete reports are submitted, no preliminary reports
  • The operator has agreed to release the information to the health authority
  • All samples in the report are subject to reporting

Setup in the laboratory database

Create yourself as a customer in your laboratory database and enter the following:

  • Your laboratory SHAPTH_ID (you can obtain this from SHAPTH)
  • Your sample collectors

Also create your external laboratories as customers in order to record their SHAPTH_IDs.

Overview of mandatory fields

Note on data types:

  • 1/0 = Yes/No field (1 = applies, 0 = does not apply)
  • datatypeC = Free text (alphanumeric value)
  • dateTime = Date and time in the format YYYY-MM-DDThh:mm:ss
  • Link to Xrepository = Under the link, you will find the documents for the current SHAPTH version and can view the possible values.

Data synchronisation for existing drinking water interfaces

For laboratories that currently use a drinking water interface (TEIS, Octoware, SEBAM) in their laboratory database, there is the option of a supported synchronisation import for some mandatory fields, such as the parameter tested.

Procedure:
Please contact us to discuss the reconciliation. Together, we will clarify which fields are already available in your software and initiate the import process.
