Edit employee group

This guide describes how to edit the "Office" employee group in the Labordatenbank, including managing members, access rights, and the delete function.

To create, edit, or delete an employee group, go to: Navigation bar → Settings → Manage employees.
Click on the Employee group button directly below the heading “Manage employees.”

Create new employee group

  • Below the menu header, you will find the button for creating a new employee group.
  • Click on +Add group.

Edit employee group

  • Click on the orange “Edit” button for the relevant employee group in the right-hand section of the page.

Delete employee group
The option to delete an employee group is described further down in this guide, under “Delete employee group”.

Overview of the employee group editing screen

The image shown represents the editing form for an existing employee group called “Office.” This view shows all configured settings and allows you to manage group members and access rights.

Basic data of the employee group

Group name: Enter the name under which the group will appear throughout the Labordatenbank.
Description: A larger text field for a detailed description of the group. This helps to document the purpose and function of the group in the laboratory workflow.
Tip: You can also use your departments as groups, for example. This allows you to separate samples from research and development from those from day-to-day business.

Manage group members

Employees in this group: Shows the employees currently assigned to the “Office” group:

  • Dr. Tanja Management
  • Luise Musterfrau
  • Maria Schöpfer

The “Add employee” drop-down menu is available to add additional employees to the group.
The blue trash can icons allow you to remove individual employees from the group.

Advanced access settings

The right side of the form shows advanced settings in a pink highlighted area:

Access to label:
A drop-down menu for selecting configured labels to which this employee group should have access.
One label can be assigned per employee group.
This allows you to control the visibility of different data types.
For example, samples can be assigned to a defined label. Only employees in an employee group assigned to the same label can see these samples. (Employees in employee groups with unrestricted access can always see all samples.)
Furthermore, you can specify for each order, customer, dashboard, and in many other places which groups or employees can see a data record.

Group options and delete function

Unrestricted access
Checkbox: By selecting this checkbox, employees in this group have unrestricted access to all customers, orders, samples, test equipment, parameters, documents, and all configured master data fields.
This option is indicated by the lock icon.

Delete employee group
Checkbox: Selecting this checkbox deletes this group and removes it from all customers, test equipment, orders, and samples etc.
This critical function is indicated by a trash can icon and allows the employee group to be completely deleted. Important aspects:

  • Removes the group from all linked data
  • Affects customers, test equipment, orders, and samples
  • Irreversible process that should be carefully considered
  • All group assignments will be lost

Assigned access rights

In the right-center area of the page, the access rights assigned to the employee group are displayed in the gray area.
The “Office” group already has specific access rights assigned:

  • Mark task as completed

Member management in practice

Adding new employees:

  1. Use the “Add employee” drop-down menu.
  2. Select the desired employee from the list.
  3. The employee is automatically added to the group.

Removing employees:

  1. Click on the blue trash can icon next to the employee's name to delete them.
  2. The employee will be removed from the group immediately.
  3. Any existing access rights granted by the group will be lost.

Group deletion - Important notes

Deleting an employee group has far-reaching consequences:

  • System-wide removal: The group is removed from all datasets.
  • Links are lost: All assignments to customers, orders, etc. are canceled.
  • Access rights: All group-based permissions are revoked.
  • Filters and settings: Group-specific configurations are deleted.

Group-based permission assignment

The Office group already shows a practical application of rights management:

  • Mark tasks as completed: Basic right for task management.
  • Additional rights: Can be added via access rights management.
  • Inheritance: All group members automatically receive this access right. The access rights obtained through group assignment are marked in access rights management by a gray circle with a white check mark.

Advanced rights management

Additional permissions can be assigned via the access rights system.
